Visa Information: International Travel to The 2019 NAMM Show

Thank you for your interest in coming to The 2019 NAMM Show! We welcome attendees from around the globe and want the travel process to be smooth and seamless for you. Carefully read the instructions below to request a visa letter of invitation.

Please Note: If you are traveling from a country that is part of the Visa Waiver Program, you are not required to request a letter of invitation. Instead, register for your Electronic System for Travel Authorization (ESTA) approval prior to travel. Letters of Invitation are offered through NAMM member badge registration starting on August 22, 2018 at 8 am PST. You must register your badge prior to requesting your letter of invitation. Because the visa application process may take 90 days or longer, we recommend that you request your letters of invitation at least 90 days prior to your travel dates for The NAMM Show.

  • Letters of invitation are available to Active NAMM Members whose membership is current through January 27, 2019. Only authorized contacts of an active NAMM member company may register for badges and request letters of invitation. Authorized contacts are designated as one of the following: Primary Contact, Registration Contact, Trade Show Contact, Housing Contact, or Administrative Contact.   • Qualified General Attendees are able to request a letter of invitation during the registration process for general attendees, which opens on August 29, 2018. Once approved, qualified general attendees will receive their badge confirmation email, followed by the letter of invitation within 2-3 business days.
  • Once you have received your letter of invitation, schedule an appointment for a visa interview at the U.S. Embassy nearest you. For more information, please visit https://travel.state.gov/content/visas/en.html.

Instructions for Active NAMM Members

You must register for badges in order to receive your visa letter of invitation. On the Badge Registration webpage, you will see an option ‘Letters of Invitation.'

Please be ready to provide the following information when requesting your letter of invitation:

  • Full Name
  • Email Address
  • Job Title
  • Phone Number
  • Country/Region of Citizenship
  • Date of Birth
  • Passport ID
  • Arrival Date
  • Departure Date

Once your request has been submitted, you will receive an emailed letter of invitation within 2-3 business days to the email address provided. Please note: NAMM does not send printed copies of your letter of invitation by mail or post.

Instructions for Qualified General Attendees

General Attendee registration opens on August 29, 2018.

When completing your general attendee badge application online, be ready to provide the following information to request your letter of invitation:

  • Full Name
  • Email Address
  • Job Title
  • Phone Number
  • Country/Region of Citizenship
  • Date of Birth
  • Passport ID
  • Arrival Date
  • Departure Date

Once your general attendee badge application has been approved, you will receive an emailed letter of invitation within 2-3 business days to the email address provided. Please note: NAMM does not send printed copies of your letter of invitation by mail or post.

  • Be prepared for your interview. Take the letter of invitation to your appointment along with your current valid passport or government identification, evidence that you have funds to cover expenses in the United States and evidence of compelling social and economic ties to your home country. The Consular Officers who interview are looking for evidence that you will return to your country.
  • Be specific about the dates of your travel to and from the United States. If you have already secured your hotel and plane tickets, provide your round-trip travel itinerary and confirmation of your hotel reservation with your application.
  • Complete all official documents and answer all questions completely. If the answer is no, write “no” or “none.”
  • Provide any materials or correspondence from NAMM to prove it is a legitimate business event. An example would be a confirmation of your badge registration to attend The NAMM Show or Summer NAMM.

  • The visa application process may take 90 days or longer, so please request letters of invitation at least 90 days prior to your travel dates.
 

Frequently Asked Questions

How do I know if I need a visa?

Countries that participate in the U.S. Department of State Visa Waiver Program may not require a visa. For more information or to determine if your country is included in the Visa Waiver Program, please visit https://esta.cbp.dhs.gov/esta/. If you do not need a visa to travel to the United States, you may need to register for Electronic System for Travel Authorization (ESTA). Please log on to https://esta.cbp.dhs.gov to check your status and register before the date you will travel.

Why do I need a letter of invitation?

If you are traveling from a country that requires a visa to travel to the United States, you may request a letter of invitation from NAMM. This letter will inform the U.S. Embassy that you will be in the United States to conduct business at The NAMM Show or Summer NAMM and will return to your home country when the show is over.

What if my visa request is denied?

If you are denied, reapply immediately and provide any requested information at your next interview. If you are delayed or denied again, please submit an inquiry about your case by e-mail to businessvisa@state.gov or call 202-663-3198.

Important: Please be aware that employees of NAMM cannot assist you with the visa interview process, but please inform NAMM of your situation. The Visa Assistance Program can expedite visa processing and arrange special appointments with the U.S. Consulate Offices.
